About the role
The Commercial & Administrative Assistant supports the daily operations of a boutique luxury real‑estate agency. Acting as the first point of contact for clients and the right‑hand for agents, this role blends front‑office hospitality with back‑office precision to ensure seamless transactions and a premium client experience.
Key responsibilities
- Welcome clients, offer refreshments, and create a professional first impression.
- Manage incoming leads, telephone inquiries, and assign tasks to agents.
- Maintain physical and digital filing systems for mandates, contracts, KYC documents, and lease agreements.
- Monitor agents’ leave schedules, update calendars, and track deadlines such as lease expiry reminders.
- Draft and publish property listings, process photographs with Photomatix, and organize photo libraries.
- Support the sales team by tracking offers, sales progress, and preparing files for notaries.
- Create flyers, catalogues, and “Sold/Rented” visuals using Canva and coordinate with the marketing team.
Required profile
- High level of accuracy and strong organizational abilities.
- Excellent customer service orientation and ability to adapt quickly to team needs.
- Professional demeanor with strong communication skills.
Required skills
- Proficiency with Google Drive and Microsoft Office (Excel, Word).
- Experience using Photomatix for photo processing.
- Ability to design marketing materials in Canva.
