Operations Executive

About the role

The Operations Executive will coordinate and execute efficient port calls, ensuring high‑standard service to vessels, principals and stakeholders. The role manages agency activities, crew changes, documentation, reporting and billing while maintaining compliance with local regulations and ISS procedures.

Key responsibilities

• Plan and execute port calls efficiently and cost‑effectively, meeting Principal and Ship Master requirements.
• Monitor port call progress, provide timely updates to stakeholders and protect Principals’ interests.
• Ensure accurate pre‑arrival, operational, post‑call and statutory reporting to relevant authorities.
• Coordinate vessel and port services on‑site, including boarding vessels and overseeing service delivery.
• Manage crew change requirements such as immigration, visas, hotel bookings, transfers, medicals and shore passes.
• Maintain strong relationships with Principals, Port Authorities, Immigration, Customs, vendors and other stakeholders.
• Ensure compliance with local regulations, HSSE requirements, ISS policies and QMS standards.

Required profile

• At least 1 year of experience in ship agency services or a similar position.
• Knowledge of maritime operations and local port and immigration documentation.
• Diploma in Marine Studies preferred.
• Valid driver’s licence.

Required skills

• Proficiency with Microsoft Office (Word, Excel, PowerPoint).
• Proficiency with Microsoft Outlook.
