Operations Administrative Assistant (Internship)

About the role

The Operations Administrative Assistant Trainee supports day‑to‑day accounting, administrative and HR activities at the Port Louis location. You will coordinate operational systems, respond to enquiries and work closely with Operations and the Service Centre on AP/AR processes, ensuring tasks are completed efficiently.

Key responsibilities

• Review and monitor enquiries from principals and schedule appointments.
• Complete Dow Jones checks for vessels and principals in coordination with Procurement and Legal.
• Create principal records in the Master Data Management (MDM) system.
• Update KPI Operations once appointments are confirmed.
• Follow up on prefunding requirements to ensure timely processing.
• Set up operational files in Optic and input service lines after appointment confirmation.
• Resolve queries in Optic LPA, mark services as delivered or ordered, and generate purchase orders for vendors.
• Respond promptly to CLS or DA Desk queries and support the Cruise Excellence Team with MPX/IMS uploads.

Required profile

• Diploma HSC Level.
• Excellent written and verbal communication skills in English and French.
• Proficiency in MS Office and internal computer systems.
• Computer literate with the ability to learn new software applications.
• Ability to work independently and as part of a team.
