Operations Executive

About the role

The Operations Executive will coordinate and execute efficient port calls, ensuring high‑quality service to vessels, principals and stakeholders. The role manages agency activities, documentation, reporting and billing while complying with local regulations and ISS procedures.

Key responsibilities

• Plan and execute port calls efficiently, meeting Principal and Ship Master requirements.
• Monitor progress, provide updates to stakeholders and protect Principals’ interests.
• Prepare and submit pre‑arrival, operational, post‑call and statutory reports.
• Coordinate on‑site vessel services, including boarding and service delivery oversight.
• Manage crew change logistics such as immigration, visas, hotel bookings and medicals.
• Maintain relationships with Port Authorities, Immigration, Customs, vendors and other stakeholders.
• Ensure compliance with local regulations, HSSE requirements, ISS policies and QMS standards.

Required profile

• At least 1 year of experience in ship agency services or a similar role.
• Knowledge of maritime operations and local port/immigration documentation.
• Diploma in Marine Studies preferred.
• Valid driver’s licence.

Required skills

• Proficiency with MS Office applications.
• Proficiency with MS Outlook.
