Associate Executive – Fund Administration & Client Services

About the role

The Associate Executive will support Apex Group’s fund administration and middle‑office services by ensuring accurate record‑keeping, client documentation, and regulatory compliance. This junior position offers exposure to a global financial services environment and the chance to develop a deep understanding of client needs.

Key responsibilities

• Maintain proper records in line with internal and legal requirements.
• Convene directors/shareholders meetings and prepare high‑quality board papers.
• Verify minutes drafted by team members and ensure final client deliverables are accurate.
• Develop full awareness of individual client requirements.
• Handle certification, notarisation, apostille and consularisation of documents promptly.
• Maintain bank accounts, initiate transfers and liaise with banks.
• Monitor day‑to‑day tasks to ensure timely completion.
• Effect statutory filings with relevant authorities (FSC, ROC, etc.).
• Conduct customer due diligence (CDD) in line with AML regulations.
• Coordinate the work of team members effectively.

Required profile

• 0‑1 years of experience in the global business sector or an audit firm (advantageous).
• Holds a degree or is progressing towards an ACA/ACCA qualification or equivalent.
• Strong client‑service mindset with good written and spoken communication.
• Ability to multi‑task, prioritize and manage time effectively.
• Excellent organizational, interpersonal and team‑working skills.
• Goal‑oriented, quick learner and able to adapt to changing environments.
• Comfortable working under pressure and meeting tight deadlines.
