About the role
We are seeking a proactive Admin Assistant in Operations to support our fast‑paced, multicultural team. You will be at the centre of our placement process, reviewing candidate profiles, matching them to programmes and ensuring smooth administrative flow behind the scenes.
Key responsibilities
- Manage calendar scheduling, meeting coordination and travel logistics.
- Prepare agendas, take notes, track action items and support executive reporting.
- Maintain reports, spreadsheets, digital files and company documentation.
- Follow up with internal teams on outstanding tasks and deadlines.
- Assist with presentation preparation, event planning and coordination.
- Enter data and update the CRM (HubSpot preferred) as required.
- Support project‑management and administrative initiatives.
- Coordinate communication between departments and stakeholders.
Required profile
- 2+ years of administrative or executive support experience.
- Strong organisational, multitasking and time‑management abilities.
- Excellent verbal and written communication skills.
- Professional handling of confidential information.
- Ability to work independently and proactively.
Required skills
- Advanced proficiency in Microsoft Office.
- Advanced proficiency in Google Workspace.
- Experience with CRM systems (HubSpot preferred).
