Associate Executive – Secretarial (Corporate Governance)

About the role

As an Associate within our Secretarial team, you will support a range of corporate governance and regulatory activities for a global investor services group. Working closely with senior colleagues, you will ensure that statutory filings, board documentation and compliance processes are accurate, well‑presented and delivered on time.

Key responsibilities

• Prepare board packs, organise annual meetings, draft resolutions and update statutory registers.
• Maintain internal systems, notably Microgen 5Series, to record corporate actions.
• Assist with director, auditor, share‑transaction, bank‑mandate and registered‑office changes, filing with relevant authorities (ROC, FSC, etc.).
• Conduct AML/KYC due‑diligence on directors, shareholders and related parties, follow up missing documentation and raise any gaps.
• Support regulatory and operational tasks such as payment instructions, TRC applications, licence renewals, reporting and audit preparation.
• Maintain high‑quality records, manage electronic and physical filing, and support ad‑hoc assignments.

Required profile

• Strong attention to detail and ability to work in a structured, collaborative environment.
• Good organisational skills with the capacity to manage multiple regulatory deadlines.
• Proactive attitude to flag client or service issues.

Required skills

• Experience with Microgen 5Series or similar corporate secretarial software.
