About the role
We are a fast‑growing immigration services company looking for an experienced HR & Office Manager to lead recruitment, employee experience and day‑to‑day office operations at our modern Mindspace office in Ébène.
Key responsibilities
- Conduct in‑person and occasional phone interviews, handling 5–7 interviews per day and maintaining a continuous pipeline of qualified candidates.
- Work closely with the Head of HR to drive a fast‑paced recruitment process and meet staffing needs.
- Manage HR documentation throughout the employee lifecycle, including onboarding, contracts and termination processes.
- Support day‑to‑day employee relations and maintain a professional, welcoming environment for staff, candidates and visitors.
- Oversee daily office operations, including supplies, invoices, expense reports and employee benefits.
- Handle employment contract signing, tax and labour authority submissions, and both physical and digital filing.
- Ensure compliance with building health and safety requirements and coordinate with building management, cleaning services and other vendors.
- Improve administrative processes, resolve operational issues proactively and maintain smooth office workflows.
- Create a positive workplace experience by planning monthly employee events, managing gifts, rewards and recognition programmes.
- Support onboarding to ensure every new employee feels welcomed and supported from day one.
Required profile
- 5+ years proven experience in HR, Office Management, or a combined HR & Office Manager role.
- Strong hands‑on recruitment experience, including high‑volume interviewing.
- Proven ability to manage day‑to‑day office operations and administrative responsibilities.
- Fluency in English and French with excellent written and verbal communication skills.
- Experience handling HR documentation, employee lifecycle processes, contracts and employment‑related administration.
- Excellent interpersonal, organizational and communication abilities.
- Ability to work under pressure, prioritize effectively and manage multiple responsibilities in a fast‑paced environment.
- Proactive, hands‑on approach with the capacity to work independently and take ownership.
- High level of professionalism, discretion, reliability and integrity.
- Strong attention to detail and problem‑solving skills.
