Guest Relation Officer

About the role

The Guest Relation Officer ensures a seamless and memorable experience for every guest at Constance Le Chaland. Acting as the first point of contact, you will manage reservations, arrivals, in‑house stays, special requests, and departures while maintaining accurate guest records.

Key responsibilities

• Organise guest reservations, arrivals, requests, stays and departures.
• Monitor and respond quickly to guest issues and special requests.
• Maintain and update guest history files and registration cards.
• Collect, analyse and distribute guest comment cards on a monthly basis.
• Prepare and send compliment letters and manage mailing lists as required.
• Record important guest events (birthdays, anniversaries, weddings) and inform relevant departments.
• Support wedding and honeymoon reservations, ensuring room assignments are confirmed two days prior to arrival.
• Coordinate weekly management cocktail invitations and keep the hotel golden book up‑to‑date.
• Participate in hotel visits, eductours and coordinate with housekeeping, front desk and villa teams.
• Comply with fire, health and safety regulations and report any equipment defects.

Required profile

• Middle or secondary education with additional training or certificates in hospitality or a related field.
• Warm, welcoming demeanor with excellent communication skills.
• Strong organisational abilities and attention to detail.
• Ability to work collaboratively with multiple hotel departments.
