Corporate & Finance Administrative Assistant (Remote, Mauritius)
Alentaris
Job description
About the role
A client of Alentaris, an executive search, recruitment, training and HR consultancy, is recruiting a Corporate & Finance Administrative Assistant to provide corporate secretarial, finance and executive administration support across the Group. The role reports to the General Counsel, is fully remote and based in Mauritius.
Key responsibilities
- Act as the main contact for the appointed administrators in Mauritius and triage their communications.
- Maintain a group-wide statutory compliance calendar (annual returns, filings, licence renewals) and a central record of each entity's constitutional documents, registers, directors, officers, shareholdings and beneficial ownership.
- Coordinate board and shareholder resolutions and meetings outside the main company: draft papers, circulate them, collect signatures, keep minutes and file them.
- Obtain certificates of good standing, certified copies, notarisations and apostilles, and keep KYC and personal information up to date.
- Prepare, send and track signature packs through DocuSign, and keep a live tracker of documents awaiting signature.
- Support finance administration: coordinate bank account openings, mandates and signatory changes, and bank KYC; support country finance teams with document collection for audits and regulatory requests.
- Supply corporate documents to auditors, tax advisors and finance colleagues, and prepare and track invoices and payments.
- Own requests from inbox to resolution, manage KYC requests and document execution, and build templates, checklists and trackers.
Required profile
- At least 3 years' experience in company secretarial work, corporate administration, corporate services, legal operations or finance administration.
- Open to candidates without professional qualifications as well as qualified lawyers, chartered secretaries or accountants; practical experience matters more than formal qualifications.
- Experience in a Mauritius management company, corporate services provider or multi-entity group environment is highly desirable.
- Working knowledge of company secretarial practice (statutory registers, resolutions, minutes, annual returns, beneficial ownership) and finance administration (bank mandates, KYC, audit support).
- Must be based in Mauritius and have the right to work there, with excellent written and spoken English.
- Self-starter able to work fully remotely across time zones, with discretion over confidential information and the maturity to own matters end to end.
Required skills
- Confident with DocuSign, Google Workspace, Microsoft Office and shared trackers.
- Uses AI tools where appropriate to speed up work, checking output for accuracy and protecting confidentiality.
- Strong process and project management skills, with high attention to detail and limited supervision.
