Operations Assistant – Port Louis

About the role

The Operations Assistant will support accounting, administrative and HR functions for Inchcape Shipping Services in Port Louis. You will manage daily operational processes, handle enquiries, coordinate AP/AR activities and provide efficient administrative support across business streams.

Key responsibilities

• Review and monitor enquiries from principals before appointment scheduling.
• Complete Dow Jones checks for vessels and principals with Procurement and Legal teams.
• Create principal records in the Master Data Management (MDM) system.
• Update KPI Operations once appointments are confirmed.
• Follow up on prefunding requirements to ensure timely processing.
• Create files in Optic and input service lines after appointment confirmation and Dow Jones clearance.
• Resolve queries in Optic LPA, mark services as delivered or ordered, generate purchase orders and forward them to vendors.
• Respond promptly to CLS or DA Desk queries.
• Support the Cruise Excellence Team with MPX/IMS uploads or queries in collaboration with the Operations Manager.
• Perform ad‑hoc tasks assigned by the Operations Manager or Finance Manager.

Required profile

• Diploma in a relevant field; HSC level is desirable.
• Fluency in written and spoken French and English.
• Computer literate with the ability to learn new software applications.
• Ability to work independently and as part of a team.
• Willingness to work on‑site in the Port Louis office.
