Reservation Coordinator

About the role

Constance Belle Mare Plage, a leading resort in Mauritius, is looking for a Reservation Coordinator. The main responsibility is to make sure that all reservation systems and procedures run smoothly and efficiently at all times. The role covers booking administration, guest information and coordination with other hotel departments.

Key responsibilities

• Print the daily room-type occupancy forecast and send it to the CHSL offices.
• Answer telephone calls and provide information and availability.
• Handle direct bookings and travel agent bookings, including Leading Hotels of the World bookings.
• Trace pending files and check the rooming list received from ground handling agents.
• Enter all confirmed bookings in the Materialised Bookings chart and revise bookings for the coming month on Saturdays.
• Follow up proforma invoices for upcoming bookings and follow up group and prime season bookings from next January.
• Handle customer requests quickly and efficiently, activate a quick response to guest problems and follow up until the guest is satisfied.
• Monitor out-of-order room status to maximise room revenue.
• Develop systems when needed to smooth paperwork and communication between hotel departments.
• Set an example in the department regarding behaviour, attitude and professionalism, and upsell where possible to achieve the best room rate.

Required profile

• Middle or secondary education plus additional training or certificates in the relevant field.
• At least 1 year of experience in the hotel industry, including proven experience in top luxury resorts.
• Experience in remote island locations is a plus.
• Fluent in English and another language, written and spoken; knowledge of a third language is a plus.
• Ability to handle customer service issues, attention to detail, multitasking and confidentiality.

Required skills

• Excellent phone skills and clear verbal and written communication.
• Strong computer skills.
• Fluency in all hotel products and services.
