Operations Lead - UMS Department
Medine Property
Job description
About the role
Medine Property is looking for an Operations Lead for its UMS department. The role manages the day-to-day operations of the UMS office: running and quality-checking core workflows, managing the support team and acting as the main contact for owners, service providers and Council members. It line-manages three support staff and covers four core workflows, with field operations and compliance as a direct, hands-on responsibility.
Key responsibilities
- Line-manage the Administrative Officer, Administrative Support and Back Office support, including workload allocation, leave planning and performance check-ins.
- Own the office's administrative SOPs and coordinate onboarding and training, including SEPTEO-SPI competence.
- Monitor the dossier pipeline (15/30 working days, Control Architect responses, deposits outstanding) and cross-train on the Validation de Dossiers process.
- Monitor budget execution against the AGM-approved budget and ensure the dated statement is handed off on time for pending sales.
- Act as first point of contact for owners, Council members and service providers, and support day-to-day administration of service-provider contracts.
- Carry out construction-site visits at least twice a month per site, run estate-wide compliance rounds and safety inspections, and issue first-line notices or escalate breaches.
- Coordinate debt recovery between Administrative Support and Back Office, review the aging-debtor list and prepare briefing notes for the Administrator.
- Draft material for the quarterly report to the Conseil des Membres and help prepare AGM materials and logistics.
- Keep the office running on operational matters when the Administrator is unavailable.
Required profile
- Degree in Management, Real Estate Management, Business Administration or a related field.
- 3-5 years' relevant experience, preferably in property, estate, syndic, facilities or administrative management.
- Familiarity with Mauritian civil code provisions on 'ensembles immobiliers' and 'associations foncières', or willingness to be trained.
- Experience dealing with owners, Council members, contractors and service providers.
Required skills
- Accounting principles and financial administration.
- Property management and co-ownership (syndic) regulations.
- Debt recovery procedures and legal documentation.
- Financial and property management software (Syndic Management software or equivalent).
- Good knowledge of Microsoft Office.
